Adepteq have won the contract to provide a document scanning solution for Rightmove as an initial phase of SharePoint development. Members of the Rightmove IT team had attended Adepteq SharePoint Seminars which helped them begin using SharePoint internally and convinced Rightmove that Adepteq would be a suitable partner when they needed assistance.
Rightmove identified a business improvement to increase productivity and offer better service to customers by reducing the time spent by Customer Service Teams (CST) and Sales locating paper based customer contracts. To achieve this Rightmove will keep electronic copies of all contracts and there will also be the added benefit of more cost effective off site storage for the original paper copies.
This solution was originally to be developed within Windows SharePoint Services (WSS) 3.0 and as discussions progressed the final SharePoint solution will require custom workflows and electronic forms. As Rightmove would like the forms developed in InfoPath they purchased Microsoft Office SharePoint Server (MOSS) 2007 Enterprise as Forms Server is included which enables all users to view browser based forms.
For the initial phase Adepteq will:
- Install and configure MOSS 2007 Enterprise
- Create Contract Management Site within SharePoint
- Install and configure KnowledgeLake capture
- Integrate KnowledgeLake with SharePoint
- Create fields and categories of required information to be captured when documents are scanned at Rightmove by CST
- Set up indexing of all documents and enable SharePoint Search
- Develop KnowledgeLake custom index panel to integrate with Maximizer
CST will be responsible for scanning the backlog of documents and will use KnowledgeLake scanning software to scan the documents directly into SharePoint. The scanning interface will be customised to include integration with the Maximizer CRM contact database to allow CST to search for and select the customer reference number and input associated metadata to be stored in the document library.
Once completed Adepteq will be developing dynamic InfoPath forms within SharePoint to replace all the existing paper forms used by the sales and CST's within the three divisions of Rightmove.
